Workplace Skills Series: If you want to have a long career in the workplace, you need to learn how to solve problems

Here, according to the following three types of problems that may arise in the workplace, I will analyze them one by one and share their solutions.

  1. Workplace Identity Issues

When we enter a new environment, if we want to make achievements, we first need to obtain the approval of colleagues.

No matter what kind of environment, if you want to gain recognition, the first thing you need to do is that you must be able to do things, you must be able to do things, at least you must be able to become a helper for the team.

Especially new graduates, we may have no experience in anything, we can ask more, learn more, listen more and see more. When someone is busy, go up to help, or even just hand over an object, help find a document, help with a message, etc. This is the best way to gain recognition.

When we arrive at a new position, we need to take time to study the skills and related knowledge required for this position, and master these skills in the shortest time (up to three months), so as to better complete the work tasks that this position needs to complete.

Second, you must actively participate in any activities of the team. Including company-organized and team-owned activities. You may not, but you can at least be a cheerleader, cheering people up, doing service work.

Of course, you still need to know. People like to be flattered, no matter how lofty they are. You have entered the workplace, don't use my own principles, my personality is like this, and these words as excuses for yourself. You can think for yourself, if someone constantly criticizes you and contradicts you, you will definitely hate this person.

  1. Work problems

To solve problems at work, we have many tools to use. Here are just a few of the most commonly used and simple tools. These tools will help you find the problem and know where the problem lies. In fact, you already know how to solve this problem. Therefore, the essence of problem solving lies in understanding the root cause of the problem.

The first tool, called "5W2H Analysis"

The so-called 5W2H is:

WHAT-------what, what to do?

WHO-------Who will execute and who will be responsible?

WHEN------- When does it start, when does it end, when does it check?

WHERE-------Where does it start, where does it end?

WHY-------Why do this, is there a better way?

HOW------------How should I do it?

HOW MUCH-------How much and to what extent?

When you analyze a job through 5W2H, the job you take will fully present its characteristics, and your task will be completed easily. ,

Let's first look at 【Case 1】

This matter seems simple, but if you just arrange Secretary Zhang to copy a document, there may be problems, and through the detailed 5W2H analysis, the tasks are clearly arranged, then, the final result, we can imagine, If the result of this matter is not good, then this secretary Zhang is not suitable for this position.

Therefore, after we receive the task, you can restore the task through 5W2H, see what factors are missing, and complete the problems in the task through factors. This will help us to complete the task.

Let's look at 【Case 2】

You have received a task: FT01--01003 parts are defective, please notify the workshop (WHO) for rework (WHAT).

How do you deal with it? Is it to notify you when you change hands, or continue to improve the elements of the task itself?

When reviewing through 5W2H, we can find that there are two factors in the task, WHO and WHAT, but the following factors are missing:

WHERE: Where did the problem come from?

WHEN: When did the problem occur? When does it need to be resolved?

WHY: Why does this problem happen?

HOW: How did the problem come about?

HOW MUCH: What is the number of defectives and what is the proportion?

After we receive this task, if we change hands and arrange it, it is conceivable that you will be constantly disturbed by this task in the future. Therefore, according to 5W2H, you need to continue to dig this task and complete these factors. In this way, after you assign this task, there will be no sequelae, and you can really solve this bad problem and lay the foundation for avoiding the same problem in the future.

5W2H is an important tool in our task acceptance and assignment. Through 5W2H analysis, you can avoid the situation of unclear tasks, unclear goals, wrong results, etc. at work.

The second tool is called the "5W method"

The "5W method" is also called asking 5 whys in a row, which can solve many emergencies and abnormal situations in our work. Through the "5W method", we can find the source of emergencies or abnormal situations.

For example, an on-site machine suddenly stops.

We asked: why the sudden downtime?

Answer: Because of overload, the fuse is blown.

Let's ask again: Why is it overloaded?

Answer: Because the bearing is not lubricated enough.

Q: Why isn't the bearing lubricated enough?

Answer: Because the oil pump shaft is worn and loose.

Q: Why does it wear out?

A: Because there is no filter, iron filings get in.

It turns out that only a filter needs to be installed, and this phenomenon will not occur again in the future. Of course, we need to judge whether it is the real reason or the excuse. For example, ask why you are overloaded, and if the answer is that the workload is too much, it is overloaded. Then you ask why the workload is so heavy? If you answer again, you will go further and further. Therefore, when using the "5W method", we need an objective answer instead of a subjective answer.

So, asking why 5 times in a row is not the same as asking why 5 times! Every why we need to get objective real reasons. Only a real and objective cause analysis can allow me to truly find the root cause and finally solve the problem.

The third tool is called "fishbone diagram analysis"

The fishbone diagram method is also called factor analysis method. According to the existing problem and various factors related to the problem, it conducts layer-by-layer analysis, and finally obtains the root cause. Because the shape of the analyzed graph is like a fishbone, it is also called the fishbone method.

For example, we found that the current employee turnover rate is high. We can analyze it through the fishbone diagram.

Employee turnover may involve various factors such as salary satisfaction, labor hours, work environment, and labor relations. By decomposing these factors layer by layer, we can find the real reason for the company's current high turnover.
